Hutt City Libraries see Spydus as key to a progressive future

Abstract: Hutt City Libraries in New Zealand has chosen the Spydus library management solution from Civica.

Ambitious goals pursued by Hutt City Libraries in New Zealand encompass reaching out to a diverse, expanding community while moving towards a progressive, future-focused library service. The organisation has chosen the Spydus library management solution from Civica to help achieve these aims.

Spydus was selected after intensive evaluation of four short-listed software products, for its flexibility, close fit with library requirements and above all, Civica's cultural fit.

"Civica demonstrated a greater understanding of the local government and library sectors in New Zealand than the other short-listed vendors," said Hutt City Libraries Manager, Sandra Mann. "They demonstrated flexibility in training programme planning and showed empathy with the high levels of change taking place at our libraries.

"We visited other Spydus sites in New Zealand where the contacts were very complimentary about the Spydus team's approachability and patience. We chose the system we felt had a less risky implementation and was most likely to demonstrate the return we required."

According to Sandra Mann, early indications suggest this approach is paying dividends as library staff work with the Spydus team towards a go-live date in June. She says Civica's people are helpful, approachable and patient.

Spydus is a web-centric integrated system, with an award-winning search and retrieval engine. Now in its fourth generation, Spydus has evolved smoothly in response to libraries' needs and through the many technological advances over the past 27 years.

Sandra Mann says the new library automation solution will streamline operational business processes.

"We are looking forward to a system that supports our new Library service efficiently and flexibly, allowing us to adapt out service to fit customer requirements along the way. We see Spydus as a modern system offering electronic service delivery while allowing the libraries to maintain high standards in traditional service delivery."

She expects staff to benefit from a more efficient service delivery, better and easier reporting, and full integration with business processes. Customers will receive a more efficient service while Spydus' flexibility will allow staff to adapt the system to meet borrowers' changing needs. Ultimately customers will benefit from better digital services.

Efficiency will flow from Spydus' ability to integrate day-to-day library processing work with processes such as Acquisitions, allowing vendors, collection managers and the acquisitions team to work together seamlessly.

Hutt City Libraries, located in the Wellington region of New Zealand's North Island, comprises eight community libraries, with 57,000 borrowers and 304,000 collection items, including special services for housebound customers.

Hutt Cities Central library holds specialist Maori, heritage and family history collections. When Spydus is up and running, library customers will be able to search, reserve and renew all of these items online.

The Spydus library management system will provide Hutt City Libraries customers with some new capabilities including SMS notices, a fully integrated Cash Management System and a specifically tailored Kids' Catalogue.

SMS notices will allow the library to communicate with customers via their cell phone, advising them that their reservation has arrived for collection or for sending other supporting circulation notices.

The fully integrated cash management system allows libraries to manage individual cash transactions relating to each customer's record while providing a daily report of monies received. This multi-purpose system will still allow staff to sell other library merchandise independently.

Children of all ages will be delighted with their own specially tailored library catalogue that allows them to perform an extensive range of searches using an image and text identifier. This is a fun, easy to use tool that will provide a convenient source of information for children as a reference source when researching school projects and for their leisure needs.
