North-West University (NWU) became the first university in South Africa to implement the Kuali Financial System (KFS). The system went live on January 5, 2015, replacing Oracle Finance. NWU implemented KFS within their original timeframe and budget, developing an in-house capacity to support and enhance the system in the future.
The North-West implementation began in June 2012, with localization and regulatory requirements for South Africa being developed over the next 30 months. A total of 10 modules were implemented.
Integration with 10 other NWU IT systems had to be assured before going live. These systems provide 70 processes being used daily. Service Orientated Architecture (SOA) was used for the integration of all these processes. The development and integration were performed by an in-house, multi-disciplinary team consisting of Information Technology and Finance staff.
Reporting from Kuali Financial System was built on the new Operational Data Store (ODS) environment, with JasperSoft as the reporting tool.
NWU is one of the leading academic institutions in South Africa with almost 78,000 students on its three campuses. The university has 3,371 permanent employees.
During the implementation, approximately 800 finance end-users were trained by identified super-users on the campuses. A KFS website supports the implementation with online training manuals, job-aids, training videos and other important information. Visit the website at http://www.nwu.ac.za/kfs.
